Booking Terms and Conditions
The following booking conditions set out the terms and conditions of the contract between you (Client) and Southern Valley Safaris.
In the agreement the following words will have the meanings referred to below, unless the context clearly indicates otherwise:-
a) “You/Your” means the client requesting for travel services through Southern Valley Safaris website.
b) “The Company/We/Our” means Southern Valley Safaris
c) Tour Contract – On booking with Southern Valley Safaris (the “Company”) and accepting the travel confirmation, the customer (“You”) will be bound by a tour contract.
Payment and Confirmation
Upon confirmation of a booking, the Company will send to you a travel confirmation and the total amount of the package to be paid. The payment schedule is as follows:-
- 30% of the total price of the trip to be paid as an advance to confirm a booking, immediately after receipt of the travel confirmation;
- The remaining 70% of the price must be paid at least 20 days prior to start of the tour.
- 100% for bookings made and confirmed within 20 days and same day of departure
- 100% payment for airline tickets as they have to be issued immediately
For peak season we might request additional deposits as required by hotels and suppliers for peak seasons, such as Easter, Christmas and New Year. We will communicate this at the time of confirmation of booking.
General Business Conditions
- Southern Valley Safaris presume that you are of sufficient legal age to use the website and create binding legal obligations.
- A binding contract only comes into effect between you and Southern Valley Safaris after we have received your deposit payment and your reservation has been accepted and a confirmation voucher issued to you via e-mail
- Change in services / Tour Alterations after confirmed booking are allowed only as long as the changes or deviations are not significant and do not detract from the overall plan of the tour. The Company shall be obliged to inform you immediately regarding any changes or deviations in the service and the necessary arrangements done accordingly to ensure the booking or safari is satisfactory
- Southern Valley Safaris will make every effort to confirm your requested travel services upon receipt of your deposit payment. In the unlikely event of us being unable to confirm your requested travel services, you will be offered alternative available travel services which will be advised for your approval.
- We are a tour operator and travel agent. We do not own any airlines, hotels, lodges or other accommodation facilities of our own. We will arrange hotel/accommodation bookings, flight tickets and other travel services only as your agent. You are therefore also subject to the additional terms and conditions of the suppliers of such third party services. We do not accept any liability for any loss or damage you may suffer as a result of the acts omissions or defaults of any such supplier or third party. However, we will always endeavor to contract services of companies which in our discretion, deliver the services in the appropriate quality while adhering to the laws of the land
- You can always cancel your travel arrangements at any time. Such cancellation will be subject to such applicable charges as specified in the cancellation policy
- It is strongly advised that all clients take out adequate insurance cover such as cancellation due to illness, accident or injury, personal accident and personal liability, loss of or damage to baggage and sports equipment.
- It is your responsibility to ensure that you reconfirm the departure date and times of all your flights at least 72 hours prior to departure.
- Southern Valley Safaris reserves the right to increase or decrease the prices quoted at the website at any time before your booking is made and confirmed due to the unforeseen circumstances in the market.
- In the event that you have any reason to complain, or experience any problems with your holiday, you must immediately inform the supplier of the services in question. If you are still dissatisfied, you must notify Southern Valley Safaris immediately to enable us to resolve the problem.
- We will take all necessary precautions to ensure your safety and enjoyment of the services you may purchase from us. The Company will not accept any liability for: death, delay, injury, loss or damage arising from any cause and in any manner whatsoever; acts of terrorism, riot, civil strife, acts of God or government; neglect, accident, industrial dispute, natural disaster, adverse weather conditions, error or omission caused by any third party suppliers or independent contractors, their employees, representatives; or, any event beyond our control.
- All baggage and personal belongings of any traveler will be the traveler’s risk. It is your obligation to ensure that you meet the baggage regulations of the airlines and charter companies that you will be using. If necessary, be insured against loss or damage for which Southern Valley Safaris will accept no responsibility.
- Southern Valley Safaris may at any time modify these terms and conditions. Your use of the services at the website is conditional upon the terms in force at the time of your use.
Cancellation Policy and No Show Policy
In the event that you cancel your booking, in full or partially, for any reason whatsoever its subject to cancellation and no show fees as follows:
Hotels and Tours
- Cancellation 46 days or more prior to departure: 10% of the value of the trip
- Cancellation 31 days – 45 Days prior to departure: 30% of the value of the trip
- Cancellation 30 days to 16 days prior to departure: 50% of the value of the trip
- Cancellation less than 15 days prior to departure: 100% of the value of the trip
The above cancellation fees may vary depending on the property booked
Tanzania Tours/ Safaris
- 60 days to 30 days prior to arrival: 35%
- 29 days to 02 days prior to arrival: 70%
- Within 48hrs: 100%

Flight Cancellation Policies
- After air tickets have been issued, any changes will be subject to the relevant Airline’s terms and conditions applicable to that fare type.
- Should you cancel your air ticket, the cancellation will be subject to the relevant Airline’s terms and conditions applicable to that fare type.
- Should a refund be granted by the relevant Airline, it may be subject to a delay. Southern Valley Safaris will only be obliged to refund any amounts once it receives them from the relevant airline, less the fees levied by Airlines.
